Setting up Podio with Zapier
Checklist
- Add a Text Formatter step in Zapier to split the full name
- Set the Formatter action event to "Text" and choose "Split Text"
- Input the full name and set Segment Index to "First"
- Duplicate the step and change Segment Index to "Last"
- Set up the Podio action: "Create Item"
- Select the correct Podio account, organization, and workspace
- Choose the appropriate app (e.g. Seller Leads)
- Map property address and due date (use "today" if unsure)
- Map first name, last name, phone, email, lead status, and lead source
- Paste the email template into the Notes field
- Skip non-required fields like ARV and MAO
- Test the Zap and verify the new lead in Podio
- Publish the Zap
Set up the Podio action
- Add a new action: choose Podio → Create Item
- Select your Podio account
- Choose the correct organization (e.g. EZPath Homebuyers)
- Select the workspace as provided by the client (e.g. EZPath Homebuyers Workspace)
- Choose the correct application within the workspace (e.g. Seller Leads)
Map required fields
- Property Address → pull from the lead form
- Due Date → if unsure, type in "today"
- First Name → select from the output of your "First Name Split"
- Last Name → select from the output of your "Last Name Split"
- Phone Number → from the lead form
- Email Address → from the lead form
- Lead Status → set to "New" (this is a required field)
- Lead Source → choose from options like "Facebook"; if it doesn't exist, the client must create it. Do not attempt to add new lead sources yourself
Optional & notes fields
- Skip non-required fields like ARV, MAO, etc. unless you're confident they're available and accurate
- In the Notes field, paste the full email template from the original inquiry
- Include additional fields (like Asking Price) only if they are reliably pulled in
Review and quality control
- Test the Zap by pushing a lead to Podio (test trigger)
- Make sure the new lead appears in Podio under the correct app
- Confirm fields like lead status and contact info are correct
- If needed, delete the test entry from Podio after verifying
- Once confirmed, publish the Zap
Troubleshooting / common issues
Lead Source missing?
Ask the client to create it — this must be done from the admin side.
Errors during field mapping?
Double-check that all required fields are mapped.
Podio doesn't recognize the full name?
Revisit the Text Formatter steps to ensure proper segmentation.
