Module 12: Lead Form Management and Zapier

Keep your lead flow connected from Facebook to your CRM and email.

Your Zapier Setup

Your Zapier zap is set to trigger on "Any form" so new lead forms are captured automatically. You should have leads flowing to:

  • Email notification
  • Google Sheets tracking spreadsheet
  • Your CRM

If one destination breaks, the others still receive leads.

Common Zapier Problems

Leads stop flowing to CRM

Check Zapier > App Connections. Click "Reconnect" on the Facebook connection. This happens when the Facebook authentication expires.

Email notifications stop

The Gmail step failed. Reconnect the Gmail account in Zapier.

Changed your password

If you change Gmail or any connected account password, Zapier zaps break immediately. Check zap status after any password change.

Diagnosing Zap Failures

  1. Go to Zapier > Zap History
  2. Filter by "On Hold" or "Errored"
  3. Click into the failing zap to see the specific error
  4. Common causes: expired Facebook auth, billing issues, missing steps

Downloading Historical Leads

  1. In Ads Manager, go to All Tools > Instant Forms
  2. Click Download on each form
  3. Select "Download Maximum" to get all leads
  4. Copy into your tracking spreadsheet

OTP (SMS Verification) on Lead Forms

Your lead forms may have OTP enabled — this requires leads to enter a verification code before submitting. It raises CPL by $2-$3 but significantly improves contact rate because only real, motivated leads complete the extra step.

You now have everything you need to run and manage your Facebook ads independently. When in doubt, the answer is almost always: pause, duplicate from template, update the date, set start time to 1-2 AM, publish.
